POSITION SUMMARY

The Department of Community Development is seeking a qualified individual to serve as the Administrative Assistant I to Construction, Planning and Zoning.  Performs clerical work necessary to issue permits for construction, repair, installation and demolition operations.  Performs administrative work related to Code Enforcement complaints, Housing applications/inspections, Fire prevention applications, permits.

Perform and assist in the duties of the Planning/ Zoning Board.

RESPONSIBILITIES include but are NOT limited to:

  • Scheduling and attending Planning Board and Zoning Board meetings and hearings;
  • Preparation and distribution of agendas and minutes;
  • Collection of the fees and escrow required by local ordinance;
  • Handling all of the board’s correspondence
  • Establishing and maintaining all board records and files, including development applications, minutes, correspondences, memos, reports, and plans;
  • Arranging for the publication of various public notices
  • Processing invoices for payment to the board professionals.
  • Accurately types and compiles a wide variety of materials including letters, construction permits, contractors’ licenses, forms, rental and resales applications and inspection scheduling.
  • Accurately and tactfully manages heavy incoming calls, determines nature of inquiries and effectively refers calls to appropriate staff.
  • Checks permit applications for accuracy and assists residents in filling out documents.
  • Collects fees for the Issuance of permits and certificates as necessary.
  • Provides general office assistance, answer phones, assist at public window, check email, filing, track financial information.

 

**MUST attend all Planning Board and Zoning Board meetings and hearings, take minutes and handle the paperwork during meetings. Galloway Township holds Planning Board meetings on the 1st and 3rd Thursday of each month at 7:00 p.m. and Zoning Board meetings are held on the 2nd Thursday of each month at 6:30 p.m.**

Preferred Skills:

QUALIFICATIONS:

  • A High School diploma or equivalent is required.
  • Planning/Zoning Board certification is preferred but not required.
  • Two (2) years of specialized experience in clerical work that provide the applicant with the knowledge, skills, and abilities typically related to office clerical work.

KNOWLEDGE, SKILLS AND ABILITIES

  • Candidate must be courteous and able to deal effectively and efficiently with the public.
  • Skillful with general office functions and procedures
  • Experience using Microsoft Word, Excel and Outlook.
  • Should have excellent organizational skills and ability to meet deadlines.
  • Good knowledge of the principles and practices of a municipal government and function.
  • Ability to understand and apply local ordinances, resolutions and codes referring to construction and demolition operations.
  • Knowledge of local regulations that pertain to the granting of various permits after a period of training.
